We are looking for self-motivated, confident Front of House staff to be the main point of contact for clients at our Studios. You’ll be energetic, friendly, proactive and an excellent communicator. You’ll relish variety in your role from welcoming new clients into the studio to ensuring our high brand standards (from cleaning/tidying to retail organisation) are maintained at all times. You’ll be available to work early morning, evening and weekend shifts.

Job description

We are seeking a committed and experienced Receptionist and Clinic Administrator to join the team at PhysioSpace based in Penylan, Cardiff. A huge potential to grow with the brand and build the ultimate role for you.

Reporting directly to the company directors, your primary responsibility is to provide patients with the highest standard of customer service and attention to detail. You need to ensure that all patients have a flawless journey from first contact to initial consultation right through to after care.

You will assist with the day-to-day administrative tasks such as: answering calls, welcoming patients and responding to patient emails, stock checking & ordering, clinic and studio space maintenance, taking personal information and patient/class bookings, clinic diary management and assisting with invoicing and billing patients.

The job will involve a significant amount of multi-tasking and prioritisation and will require a proactive individual who has the ability to handle a fast-paced environment.

This position will consist of 30-40 hours per week, our clinic hours are 08:00-20:00 and your shift with make up part of this time including some weekend working. You must be flexible and able to cover others when necessary.

Person requirements – At least 1 year experience of working in a similar high-end environment, delivering exceptional levels of customer service.

A team player with the ability to deliver their roles and responsibilities in a calm and efficient manner while working in a busy environment.

Elite communication skills and immaculate written English. – A polished appearance and professional manner with a smile for all situations.

Traditional values and manners are expected when greeting and liaising with the team and patients.

Experience in delivering exceptional levels of service. Excellent IT and admin skills, with a working knowledge of Excel, Google drive and previous client booking systems. The systems used at PhysioSpace are Cliniko & Mindbody, it is desired that you have used both before.
